The Athens Drive Arts Foundation (“ADAF”) is a 501c3 tax exempt organization. Started with a vision by former ADHS Band Booster President Luanne Webb, ADAF is a fund raising organization dedicated to providing for the musical arts at ADHS. To make tax-deductible contributions to benefit the band program at ADHS, please see athensarts.net/. Introducing the Grand Raffle FundraiserAugust 6, 2008 Dear Musical Arts Patron: Thank you for considering our fall 2008 Grand Raffle Fundraiser. Inside this envelope you will find 3 tickets! We are not asking you to buy any of these tickets (unless you would like too)! Try to sell them to your family members or friends as a simple and easy tax deductible contribution to the musical arts community at Athens Drive. This letter and the attached Q & A explain our new campaign called the Grand Raffle. It is a simple ticket raffle that will cost $50.00 per numbered ticket. On or around November 22, 2008 we will hold the Grand Raffle prize drawing at the conclusion of the fall marching band banquet. 5 cash prizes will be awarded that day. The prizes are as follows: 1st Place $5000 2nd Place $2500 3rd Place $2000 4th Place $1000 5th Place $500 The wrinkle that makes this raffle attractive is that we are only selling 500 tickets. That gives someone holding a ticket a 1 in 500 chance of winning a prize. And that prize could be 100 times more than the cost of the ticket. In return for the $50.00 contribution, the purchase price of the ticket can be deducted on your 2008 tax return. This is a wonderful fundraiser for family members (Grandparents, Godparents, Aunts & Uncles) to help contribute to their family’s education. We can not emphasize enough, how much we would like to sell the tickets to non band members. We want to extend our fundraising efforts outside of the immediate band family and this type of raffle is used by other non-profit organizations like ours as well. Finally, the Athens Drive Arts Foundation has authorized cash incentives to the person who sells the most tickets as well as to each of the people who sold a winning ticket. This is an additional incentive to encourage you to sell the tickets instead of buying them. See our Questions & Answers document attached to this letter and check our website (www.athensarts.net) for more details about this exciting fundraiser. Again, if you choose not to participate, please return the envelope and tickets to Dr. Markoch in the band office. If you have any questions, please feel free to contact Alan Keith at 919-387-9565 (arkeith@bellsouth.net) or myself at (919) 372-1658 (Rnauman@mybpa.net) Sincerely, Robert Nauman The Athens Drive Arts Foundation, (TIN 51-0569492), is recognized under Section 501(c) (3) of the Internal Revenue Code as a tax free charitable organization. Each year the Foundation continues to advance its mission of supporting the musical arts in the Athens Drive community, by conducting fundraisers. Without your support, we would not be able to accomplish many of the things we set out to do within this foundation. Thank you again for considering a donation. Grand RaffleQuestions & AnswersCan the person who buys the ticket deduct the price of the ticket on their taxes? Yes and they have two ways to make sure to take the deduction. They can first write a check to Athens Drive Arts Foundation in the amount of $50. Second, we will send them a letter recognizing their contribution, and third, they will have a ticket stub which should suffice as proof of the contribution. Note: If you are one of the 5 prize winners, you need to know that your $50.00 contribution will not be tax deductible because their prize winnings will have exceeded the amount of their tax deductible contribution. The Athens Drive Arts Foundation, (TIN 51-0569492), is recognized under Section 501(c) (3) of the Internal Revenue Code as a tax free charitable organization. If you have any questions, please feel free to contact Rob Nauman. What if we do not want to sell the tickets or participate? You are not obligated to sell these tickets. However, because there is a limited supply (500) we do need you to return any tickets you have in your possession. These tickets can be reallocated and used by someone else. If you are not interested in doing this fundraiser, we would prefer you return the tickets AS SOON AS POSSIBLE. When will the drawing take place? We have planned to do the drawing at the fall Marching Band Banquet. We plan to do a reverse raffle for the prizes were we will draw 20 tickets out first to see who is eligible for the prizes. Then we will have another raffle at the end and the last number called will be our 1st prize winner! Does the winner need to be present? No, the winner does not need to be present at the fall band banquet to win! If we do sell the tickets out well before the band banquet, we may decide to have the drawing sooner, but that is a remote possibility at this time. How much will this raise for the organization? Because we are selling only 500 tickets, the most the Raffle pot can be is $25,000.00. When we pay out the winnings and incentives, the amount left to fulfill grant requests will be $13,000.00 Where are you planning to sell the tickets? The Athens Drive Arts Foundation Board is planning on selling about 125 of the 500 tickets at community events, through local outlets and directly to the public on its website. However, if you would like more than the 3 tickets you currently have, please feel free to contact Rob Nauman at 919-372-1658 (Rnauman@mybpa.net) or Alan Keith at 919-387-9565 (arkeith@bellsouth.net) Who are good candidates for the tickets?
Where can I get more tickets if I need them? By contacting Rob Nauman at 919-372-1658 (Rnauman@mybpa.net) or Alan Keith at 919-387-9565 (arkeith@bellsouth.net) When do we turn in the money and ticket stubs? You can turn in the money and ticket stubs anytime before November 1, 2008. After that date we will try to recover any unused tickets Where do we turn in the money? We can accept payments and the ticket stubs in several ways:
We prefer that you do not ask the students to deliver the envelope to us. Because of the limited number of tickets and the propensity for things to get lost in transit, we think these methods are the most secure method of payment and ticket stub transfer.
What happens if you do not sell all 500 tickets? The prize winnings will be prorated based on the percentage of winnings available?
What are the incentives for selling the tickets? There up to $750.00 in prizes available to those who sell tickets. The prizes include
How will you determine who wins the $500.00 for selling the most tickets? Each of you received 3 numbered tickets in this envelope. We are tracking those numbers and have built a tracking database with the name of the person who sold those tickets. If you like, on the back of the ticket stub that you return to ADAF, you can write your name on the back so we also can confirm that information. Are Board of Directors & their families eligible for the prizes? The Board of Directors for the Athens Drive Arts Foundation ARE NOT ELIGIBLE for the prize awards, but their immediate family and friends are!
